My top 3 Zoho Projects alternatives
By Shubhashree Halder, Content Manager
I have been exploring various project management tools and have found some great alternatives to Zoho Projects. These alternatives offer a variety of features that can cater to different business needs.
Asana
Asana is another excellent alternative. It's a web-based tool that helps teams organize, track, and manage their work. It's great for managing multiple projects at once and allows you to break down tasks into subtasks. For instance, a software development team can use Asana to track the progress of their development cycle, from the initial planning stage to the final testing phase.
Monday
Monday.com is a work operating system that powers teams to run projects and workflows with confidence. It’s a simple but intuitive tool that enables people to manage work, meet deadlines, and build a culture of transparency. A sales team, for example, could use Monday.com to track leads, manage customer relationships, and forecast sales.
ClickUp
ClickUp is a cloud-based collaboration and project management platform that's good for teams of any size or industry. It offers useful features like task assignments, status updates, priority tags, and more. For instance, a marketing team could easily use ClickUp to keep track of their campaigns, monitor task progress, and stay connected with teammates in real time.
If you're currently using Zoho Projects, ClickUp can be a strong alternative. It provides a more intuitive user interface, better flexibility in customizing workflows, and smoother team communication. Overall, ClickUp may offer your team a more streamlined and user-friendly experience compared to Zoho Projects.
List of Alternatives to Zoho Projects
Here are some of Zoho Projects's top competitors in the Collaboration category: Asana, Monday, Jira or Microsoft Project.
Asana's platform supports you across work management and project planning. The platform allows you to have more visibility in how your daily work is connected to the company's bigger picture, and how to better organize yourself, communicate more efficiently, manage tasks and deadlines in order to finalize your products, services or deliverables on time; less work about work, and more focus time on what matters most.

Why is Asana a good alternative to Zoho Projects?
I believe Zoho Projects is a great alternative to Asana for several reasons. First, its pricing is more competitive, making it an affordable choice for smaller businesses or startups. Despite its lower cost, Zoho Projects doesn't compromise on features. It offers comprehensive project management tools including time tracking, issue tracking, and document management. Furthermore, Zoho Projects has a very intuitive and user-friendly interface that makes navigating through the software straightforward.
Another big advantage is its seamless integration with other Zoho apps and external systems. This means you can easily sync your project data with other tools in your tech stack. Lastly, Zoho Projects' customer support is remarkable, offering immediate assistance to users when they encounter issues or have queries. Therefore, for its affordability, robust features, ease of use, integrations and excellent support, I consider Zoho Projects a strong contender to Asana.
What are the differences between Asana and Zoho Projects?
I find that there are several key differences between Zoho Projects and Asana. Firstly, Zoho Projects provides more advanced project management features such as issue tracking, time tracking, and document management, which are not as comprehensive in Asana. However, Asana excels in task management with its intuitive and user-friendly interface, making it easier for teams to plan, organize, and track the progress of their tasks. Secondly, Zoho Projects is more cost-effective for large teams as it offers a flat rate for unlimited users while Asana's pricing is per user. But Asana offers a free version with basic features which Zoho Projects doesn't have. Lastly, integration is another point of difference. Asana integrates well with other tools like Slack and Google Drive while Zoho Projects works seamlessly within the Zoho ecosystem but lacks some integrations with external tools.
Easily manage all your projects and become more productive and efficient.

Flexible for Simple Tasks and Complex Workflows
We use Monday for campaign planning, and the mix of kanban, calendar, and dashboard views gives each team what they need without forcing everyone into the same format. The integration with Slack is handy for quick updates, and I like that the interface stays approachable even for less technical teammates

Why is Monday a good alternative to Zoho Projects?
I believe Zoho Projects is a good alternative to Monday.com for several reasons. Firstly, Zoho Projects offers a free version which is a great advantage for small teams or startups on a budget. Whereas, Monday.com only offers a free trial. Secondly, Zoho Projects stands out for its advanced features like issue tracking, which is not available on Monday.com. This feature is particularly useful for software development teams, as it allows them to track and manage bugs efficiently.
Additionally, Zoho Projects has a more straightforward pricing structure than Monday.com. The cost per user decreases as you add more team members, making it cost-effective for larger teams. Lastly, Zoho Projects supports integration with other Zoho apps and Google Apps, providing a comprehensive workspace within one platform. Therefore, if you're looking for an affordable, feature-rich project management tool, Zoho Projects could be the way to go.

I’ve been using Jira for project management recently, and honestly, it’s just a genuinely good product. When you are managing moving parts and need to keep everything on track, having a tool that is actually useful—rather than just another administrative burden—makes all the difference. One of the biggest surprises for me was the onboarding experience. Powerful project management software usually comes with a reputation for being overly complex, but Jira actually has a very easy learning curve. It’s incredibly easy to learn and understand right out of the gate. You don't have to spend weeks reading documentation to figure out how to set up a sprint or manage a backlog; the core mechanics just make sense. A huge part of why it's so accessible comes down to the front-end experience. It features a really nice, clean user interface that gets out of your own way. I absolutely love the design and the customization options. You can tailor your boards, fields, and workflows to fit your exact operational style, rather than being forced to adapt your process to fit the software. The real magic happens when you start expanding its capabilities. Jira connects seamlessly with just about every other app you might be using. By hooking it up to the rest of your tech stack, it adds so much more functionality, turning it from a simple task tracker into a centralized hub for your entire workflow. Overall, it’s a highly effective platform that successfully balances deep customization with an easy-to-digest design. Highly recommended.

Why is Jira a good alternative to Zoho Projects?
I believe Zoho Projects is a great alternative to Jira due to several reasons. Firstly, it offers a more intuitive and user-friendly interface which makes project management less daunting for beginners. Secondly, it provides a broad range of features including task management, time tracking, and document management, that are not only comparable to Jira but in some cases superior. Thirdly, Zoho Projects also integrates seamlessly with other Zoho apps as well as external apps like Google Apps, which increases its functionality and usability. Lastly, the pricing of Zoho Projects is more affordable compared to Jira, making it a cost-effective choice for startups and small businesses. Therefore, for its ease of use, comprehensive features, seamless integration, and cost-effectiveness, I find Zoho Projects a compelling alternative to Jira.
What are the differences between Jira and Zoho Projects?
I have found that Zoho Projects and Jira, while both being project management tools, have distinct differences. Zoho Projects is known for its user-friendly interface, making it easier for beginners to navigate. It offers features like task management, time tracking, and document sharing. It's also more budget-friendly, making it suitable for small to medium-sized businesses.
Conversely, Jira is a more powerful tool, designed specifically for software development teams. It supports Scrum and Kanban methodologies and offers advanced features like bug tracking, sprint planning, and reporting tools. However, its complexity can make it difficult for first-time users to understand. Jira is generally more expensive than Zoho Projects but is often preferred by larger organizations and those with more complex project management requirements.
Microsoft Project brings value by providing a comprehensive and powerful project management solution. With features such as task scheduling, resource allocation, budgeting, and collaboration tools, it allows businesses to effectively plan, track, and manage projects of any size.

Microsoft Project – Solid, but shows its age
We've been using Microsoft Project for a while in our mid-sized team. It’s definitely built for structure — scheduling, dependencies, critical paths — all of that works well if you take the time to set it up right. But in practice, we’ve faced a few limitations: Too steep a learning curve for non-PM team members Limited collaboration unless paired with other Microsoft tools Reporting and dashboarding feel outdated without Power BI integration Not as adaptable for hybrid or agile workflows It does its job for traditional project plans, but if your team is evolving or distributed, you might start feeling the friction. We’re exploring alternatives that are more modern and better suited for cross-functional teams — still testing things out. Would love to hear how others are working around the collaboration limitations?

I've been using Notion for about a year and I genuinely don't know how I managed without it. It took over everything: projects, notes, goals, reading lists. All in one place. What makes it special is how flexible it is. You can keep it simple or build something really powerful. Either way, it ends up feeling like a system that actually fits the way you think. My team uses it too and collaboration has been smooth ever since. Honestly, if you're tired of juggling five different apps, just try Notion. You won't go back.

Trello Excels at Simplicity
Trello appears visually appealing and is very user-friendly for me. Its straightforward interface enables me to quickly grasp how to structure my tracking. However, I am not fond of the restriction on the number of custom fields. If I require custom fields now, I will likely need more in the future. I don't like being limited in the number of fields, which forces me to operate within the tool's constraints rather than my own understanding. I don't want to pay for something as basic as a field. I would prefer to be charged for baselining, enhanced reporting, or more advanced features, rather than being nickel and dimed for fields.
